Use the records your team already entered
Administrators can turn logged fuel activity into a structured workbook without copying entries from a paper book.
Each fuel issue already includes the date, tank, equipment, operator, litres and relevant meter reading. Exporting uses that same history, which reduces repeated data entry and keeps the report traceable to the original operational record.
Choose a month or year, download the workbook and open it in Excel. The file can be filtered, shared with management or used alongside other farm records for reconciliation and analysis.

The workbook also includes an Enterprise Summary with monthly total litres and entry count.
Read the pump check before totalling the month
For each sequential issue, the export compares pump-counter movement with the entered session litres.
Pump movement = current pump total − previous pump total

Differences up to 2 litres are labelled OK. Larger differences are highlighted for investigation before the workbook is circulated.
A practical month-end reconciliation
- Export the month after the final shift has synced its pending entries.
- Filter Pump vs Session for discrepancies and compare those rows with source activity.
- Check unusually high litres-per-hour or litres-per-kilometre values for bad meter readings.
- Compare the Enterprise Summary total with purchasing, delivery and physical stock records.
- Keep the unedited export as the audit copy; do further allocations or annotations in a working copy.
